How to Migrate Off Zendesk Sell: A Practical Guide
Zendesk Sell shuts down August 31, 2027, and Sell data is deleted permanently — starting at retirement or when your subscription ends, whichever comes first. This guide walks through a realistic migration plan: what to export this week, what the export won't save, how to choose a destination like Totaum, and how to sequence the cutover so nothing is lost.
Phase 0: Export Your Data This Week (before anything else)
Unlike most migrations, this one has a step that should happen before you've chosen a destination — or even started evaluating. In Sell, go to Settings > Data > Export (admins or users with export permission) and run a full export. Zendesk delivers a CSV file via a secure email link, and exports remain downloadable for 30 days after creation. Store the files somewhere durable and repeat the export periodically until you've cut over.
The export covers leads, contacts, deals, notes, tasks, smart lists, full account data, and the Total Sales report. Note that some system fields (such as Parent Company ID) are available only through smart-list export, so export your key smart lists too.
What the export does NOT cover — plan manual capture: per Zendesk, activity history, appointments, emails, call logs, and documents cannot be exported. For your most important accounts and open deals, capture what matters by hand while you still have access: save critical attachments locally, copy key email threads and call notes into the deal notes field (notes do export), and photograph or PDF anything irreplaceable. Every month you keep selling in Sell adds more history to this unexportable pile.
Phase 1: Decide What You're Replacing (1–2 weeks)
Sell's retirement forces a migration — so decide the scope of it deliberately. Two honest paths:
- Pipeline-to-pipeline: move to another standalone sales CRM. Zendesk's official partner is Pipedrive, which has built migration tooling for Sell customers; for service businesses with no inventory, this is the lowest-friction path and a perfectly good one.
- Consolidate: if you make, stock, or ship products, consider replacing the whole patchwork — CRM plus the separate quoting tool, inventory tracker, and accounting system it leans on. Inventory your surrounding stack while you decide: what does Sell currently integrate with (accounting, email, calendars, marketing tools)? Which of those survive the move, and which could the move retire?

What are your support hours, uptime commitments, and security posture? What happens to per-user cost as we grow? Phase 2: Map and Import Your Data (1–3 weeks)
Map Sell's objects to the destination's: leads and contacts (decide how unconverted leads should land), companies/accounts, deals with their pipeline stages and values, notes, tasks, and custom fields. Clean as you go — a forced migration is the best moment you'll ever get to merge duplicate contacts, close dead deals, and retire stale custom fields rather than carrying them forward.
Run a test import with a slice of real data first, verify record counts and spot-check high-value accounts, then run the full import. Phase 4: Cut Over and Cancel — In That Order
When daily work has fully moved: take one final Sell export, download it, verify you can open the files, and archive them for your retention requirements. Only then cancel the Sell subscription. Zendesk's data deletion can begin when your subscription ends — cancelling before your final export is downloaded risks losing the archive. Working Backward from the Deadline
- This week — August 2026 Run your first full Sell export and start manual capture for key accounts. This costs nothing and protects you regardless of destination.
- Fall 2026 Evaluate destinations against your own data and scenarios. A 1–3 month migration finished by year-end leaves you selling from a stable system with 8+ months of buffer.
- Your renewal date The real deadline for many teams. Decide before it arrives — renewing into a retiring product should be a deliberate choice, not a default.
- August 31, 2027 Sell and its mobile app shut down; data deletion begins and is permanent. Do not plan to be migrating in the final months, alongside every other Sell customer.
